Leader’s Travel “Tool Kit”
We’ve talked about what is on the packing list but the adults have a separate list of important things! You can divide the things in the Leader’s Tool Kit into several chaperone backpacks. They go with you wherever you go and will help you feel prepared to deal with any emergency. I give the first aid kit and medications to the first aider. I usually keep my Travel Binder and all the other “fix it” things.
Travel Tool Kit
• First Aid kit and an Accident Report form (I keep a blank accident report form folded in my first aid kit, If you have any accidents on the trip you’ll fill that out and get it to your Activity Consultant who sends it to council, they’ll help your scout with insurance if needed and keep the report on file for 20 years!)
• Each girl’s medications (in small sandwich bags with girl’s name in sharpie on outside)
• Medication and accident log and a pen (I keep this in one big Ziploc bag with the and the instructions for dosage and signed permission to give medication so it’s all in one place.)
• Emergency fix it kit (with safety pins, needle and thread, duct tape, small scissors, pen and paper – you can wedge these into your first aid kit if they fit)
• Extra feminine hygiene supplies
• trash bags for liter, makeshift rain gear, storage, wet clothing
• zip bags for motion sickness
• hand wipes, tissues and/or paper towels
• extra beanie hats or gloves for that unexpectedly cold walk across the bridge
• Map of the city
• ideas for travel games
• troop credit/debit card – call the bank before you go to let them know that you’re traveling. Some leaders have had trouble using cards when traveling even domestically.
Travel Binder with:
• budget (we made estimates for each meal and activity that add up to our budgeted amount and then we write the actual expense next to it..so we can keep a running tab of how much we’re over or under)
• Itinerary
• Important Papers – lodging reservations, car rental agreements, boarding passes, confirmation numbers, bridging information, proof of insurance
• Safety Management Plan with Emergency Contact phone numbers (I also made a single page spread sheet with each girl’s name, emergency phone numbers, health insurance phone number and policy number along with phone number and confirmation numbers for lodging and travel and the council emergency numbers so that I’d have that in one easy place)
• Permission slips and health histories for each girl and adult (separated by car if you’re driving up),
• Council Emergency procedures sheet and/or card
• Code of Conduct (In case you need to remind anyone about what you agreed on)
